We have tried to include several areas that have not seen a GSE Team recently (or never). This required us to leave out some cities that have been very good hosts many times in the past. We regret this but we only have twenty-eight days to plan. We hope those left out this year will appreciate the need to “share the wealth” of GSE.

GENERAL GUIDELINES

 

Vocational Day – GSE is first and foremost a Vocational Education program. The Rotary Foundation requires a minimum of five vocational days. On Vocational Days each team member is to go individually to one or more sites and spend an extended time with a person in the same or similar profession. The objective is a little “on the job” training. The vocational training is a two way street because the person hosting the team member will also learn from the team member about the profession in their home. Remember that this is an EXCHANGE!  Vocational Hosts should keep in mind that our way is not the only way. It is also helpful to place a team member with a host family in a similar profession. On some days a Rotary Meeting is available on a Vocational Day. In this case the Vocational visit has priority if necessary – meaning if the Club meeting would interfere with a vocational visit then the member is excused from the club meeting. A Vocational Day host does not have to be a Rotarian – find the best vocational match.

Host FamiliesEach family will host a single person for up to four nights. If a host is unmarried or the spouse is not at home any of the scheduled days then the team member must be of the same gender as the host. The host family is usually responsible for picking up the member each afternoon, providing dinner, bed, laundry and breakfast and returning them to a meeting point each morning. Additionally, on days designated “Free Day with Hosts”, the member has a day off/rest day and the host family is responsible for them all day. Often the host family will include the member in whatever activity they would normally do that day (church/recreation) or plan some special activity. Some clubs will arrange for another person to pick-up/drop off members at hosts. Please arrange for an extra “backup” host family in the event somebody has to cancel late. A host family does not have to be a Rotarian.

Day Activities-  On days not scheduled for rest/vocational, the Team must travel as a unit to see whatever the local clubs want them to see. Rotary projects are always preferred, recreational and cultural activities are always enjoyed but also expose them to unique industries, historical and social opportunities. It is encouraged to take them to schools to talk about their homes (think exchange) but don’t make this the largest part of the day. We need to avoid redundant activities (such as a hospital tour in every town). Communicate with other areas to avoid duplication. Include the Team in any Rotary projects that you may have going on at the time, or plan a hands on project for your hosting period.

Expenses/Cost of Meals- The Team Members are not expected to pay for anything that would be considered basic needs (food, transportation, activity tickets, etc). Team members will pay for any personal items, snacks, shopping, etc that they pick up along the way. A club may choose to reimburse a host/driver for the cost of mid-day meals, gas etc but usually this is a “contribution” of the Rotarian.

Moving Days – Hosts will deliver team with bags packed for transfer. Sending and receiving areas will contact each other and coordinate the transfer. It is good to stop along the way and see something or make a Rotary meeting if available. If time permits, the team can tour the receiving city before meeting the new hosts. Be sure to plan two drivers with vans since we have six visitors with plenty of luggage.

Club Meetings – The team should be scheduled as the program for any available mid-day meetings in the area they are hosted. Please plan this well in advance and make sure they are the only program that day and have at least thirty minutes to make their prepared presentation. Invite all Rotarians from nearby clubs or plan a joint meeting. Evening meetings are also encouraged where available.

Publicity – Be sure to include local media in your plans and get some publicity for Rotary.

Airport pickup/delivery – The area will be provided with specific flight information and will be responsible for meeting/delivering the Team as needed. Allow extra time for departure and plan on a luggage load.
